Who's on the desk overnight?
A fuel dispatcher, every night of the year. Nights, weekends and holidays aren't a side service here, they're the whole business. The desk runs 24/7 with a formal backup team behind it, and every account has a current playbook, so whoever is on the desk runs your operation your way. You'll always have a direct line, not a queue.
Do you handle our customers' calls, or only our drivers?
Both, and for most operations the customer calls turn out to be the bigger half. We take delivery ETA questions, will-call orders, run-out reports and the occasional complaint, all answered in your company's name off your playbook. A customer who calls at 9 p.m. to say the tank is empty gets somebody who understands what that means and knows from your rules whether it needs a truck tonight or first thing in the morning. Anything we can't settle on the call is written up and waiting in your morning report.
How do I know you'll represent my company well?
The person answering your phone does fuel for a living. They know what a bobtail is, what a run-out costs you, and why a six-hour line at the rack changes tomorrow's routes. Representing a fuel company well starts with understanding one. Beyond that, everything runs off your procedures, not a generic script. During onboarding we build a playbook for your specific operation: your greeting, your escalation rules, your do-not-do list. Then you get a written report every morning showing exactly how every call was handled. And you start with a 30-day out: if we're not representing you the way you'd want, you walk.
We don't get much after-hours volume. Is it worth it?
That's the math worth running, and the volume you can measure usually isn't the whole number. Calls that hit voicemail at 11 p.m. don't show up anywhere, and that customer just calls someone else. Even low volume is expensive when the calls you miss are emergency deliveries or a stranded driver. And right now, that "free" coverage is costing you your own nights and weekends. Am I locked into a contract?
No. Month-to-month, cancel with 30 days' written notice, either direction. There's a one-time onboarding fee that covers building your procedure playbook, systems setup, and a test run — then it's simple monthly billing with auto-pay.
What kinds of companies do you cover?
Propane, heating oil, diesel, gasoline and specialty fuel delivery companies, plus fuel haulers and transport operations. If it comes out of a refinery, we can dispatch it. Whether you run 2 trucks a night or 150, the desk covers them the same way — we size the coverage to your call volume, not the other way around. We cover operations nationwide, in your local time zone.
How fast can we go live?
One week from the day you sign: kickoff call, playbook build, call forwarding and a test run, then we take our first shift. Heading into a busy season? Tell us and we'll move you up.
